This Payment & Billing Policy explains how AVT Group LLC (“AVT Recruitments”, “we”, “us”, or “our”) manages billing, invoicing, payments, refunds, and related financial procedures for clients and users of our recruitment, HR consulting, employer branding, and outsourcing services. This Policy applies globally to all commercial transactions between AVT Recruitments and its clients.

1. Scope of This Policy

This Policy applies to all paid services offered by AVT Recruitments including but not limited to:
Recruitment placement fees
Retainer-based HR consulting services
Employer branding advisory packages
HR outsourcing solutions
One-time consulting or project-based engagements
Workshops, assessments, and training sessions

Specific commercial terms may be defined in separate contracts. In case of conflict, the signed agreement prevails.

2. Payment Methods

We accept the following payment methods:
ACH payments
Wire transfers
Card payments processed via Stripe
Bank transfers from international accounts
Other approved methods communicated directly to clients

We do not store or process card details internally. All card transactions are handled securely through PCI compliant processors.

3. Currency and Exchange Rates

Invoices are typically issued in USD unless otherwise agreed in writing.
If a client pays in a different currency, exchange rate variations or bank conversion fees are the client’s responsibility.

4. Invoicing and Payment Terms

Invoices are issued upon service commencement, milestone completion, or contract execution, depending on the nature of the service.

Standard payment terms:
Net 7 or Net 14 days unless otherwise specified
Immediate payment for certain consulting or fixed-fee services
Upfront deposits where applicable

Failure to pay an invoice on time may result in suspension of services.

5. Late Payments and Penalties

If payment is not received by the due date, we reserve the right to:
Apply late payment fees
Charge interest at a reasonable rate permitted by applicable law
Suspend or terminate ongoing services
Withhold deliverables until payment is received

Repeated delays may impact eligibility for future engagements.

6. Recruitment Placement Fees

For recruitment services, placement fees may be structured as:
Contingency-based fees
Retainer-based fees
Flat-fee recruitment packages
Success-based fees

Fee structure is defined in the client agreement and may include:
Upfront retainer
Percentage of candidate’s annual compensation
Milestone-based billing

Placement fees become payable when a client hires a candidate introduced by AVT Recruitments, regardless of whether the candidate applied through other channels after our introduction.

7. Replacement Guarantees

If the client agreement includes a replacement or guarantee period, its terms and conditions govern eligibility. Replacement guarantees typically exclude situations where:
The role or responsibilities change significantly after hiring
The client terminates employment due to internal restructuring
The candidate leaves due to unsafe or unlawful work conditions
The client fails to pay the agreed fee

Replacement guarantees do not equate to refunds unless explicitly stated.

8. Refund Policy

Refunds are issued only in the following situations:
When explicitly provided in a signed agreement
When payment was made in error
When a duplicated transaction occurs
When required by applicable law

Refunds are not issued for:
Completed consulting hours
Delivered employer branding work
Recruitment fees once a candidate is hired
Services already rendered or initiated
Client-side delays, changes of scope, or internal organizational decisions

All refund requests must be submitted in writing to office@avtrecruitments.com.

9. Chargebacks and Disputes

We take chargebacks very seriously.
If a client initiates a chargeback without attempting written resolution, we may:
Pause all active services
Pursue recovery through collections if the dispute is invalid
Terminate current or future engagements

Clients must notify us before opening a dispute so issues can be addressed promptly.

10. Taxes

Depending on jurisdiction, services may be subject to taxes such as:
Sales tax
VAT
GST
Local service taxes

Clients are responsible for all taxes associated with their jurisdiction unless otherwise stated in the agreement.

11. International Clients

For clients outside the United States:
Additional bank fees, intermediary bank fees, and currency conversion costs are the responsibility of the client
International transfers may require additional documentation due to compliance requirements
Payment timelines may vary due to banking regulations in the client’s country

12. Service Suspension for Non-Payment

If payment is overdue, AVT Recruitments may suspend services until all outstanding invoices are settled. Suspension may include:
Halting recruitment activities
Stopping HR consulting or outsourcing work
Delaying access to deliverables or reports

Service suspension does not waive the client’s obligation to pay outstanding amounts.

13. Cancellations and Changes to Scope

If a client chooses to cancel a project or modify the scope after work has begun:
Fees for work already completed remain due
Additional fees may apply if scope changes require new deliverables
Cancellation terms outlined in the signed agreement take precedence

14. Confidentiality of Billing Information

All payment details, invoices, agreements, and financial communications are handled confidentially and stored securely.

We do not share financial information with third parties except where required for:
Payment processing
Compliance with laws
Accounting and auditing functions

15. Updates to This Policy

We may update this Policy to reflect changes in services, billing practices, or legal requirements.
Updates become effective upon posting with the revised Effective Date.
